Your Role
The senior wholesale administrator provides support the Wholesale team through the efficient management of administrative, operational and commercial processes across global wholesale accounts. This role is responsible for coordinating order management, reporting, showroom operations, logistics, account administration and internal stakeholder communication, ensuring a seamless experience for both customers and internal teams.
What You’ll Be Doing
Account Administration & Support
Support the Wholesale team with day-to-day account administration and account management activities.
Prepare account meetings, appointments and customer presentations.
Assist with processing new customer accounts, reviewing documentation and supporting contract administration.
Coordinate wholesale partner training and onboarding support.
Monitor wholesale partner websites and identify product, launch or pricing discrepancies.
Ensure wholesale partners receive seasonal marketing assets, launch materials and communications.
Support prospecting and outreach activities for new business opportunities.
Reporting & Sales Analysis
Maintain and analyse sell-through reports across wholesale accounts.
Produce monthly sales reports by account, territory and category.
Identify best-selling and underperforming products.
Create performance summaries and commercial insights for internal review meetings.
Order Management & Wholesale Systems
Manage wholesale platform administration, including NuORDER updates and uploads.
Maintain accurate product data, pricing and product information across systems.
Process order amendments, replenishment requests and cancellations.
Update line sheets, price lists and launch documentation.
Support troubleshooting and maintenance across wholesale systems including NuORDER, Dynamics and PVX.
Showroom & Sell-In Support
Coordinate showroom set-up and visual merchandising for seasonal sell-in appointments.
Coordinate sample shipments, carnets and showroom inventory management.
Coordinate briefing and production of lookbooks, invitations, POS materials and account-specific marketing assets.
Support campaign planning by ensuring imagery and product assets are available ahead of sell-in periods.
Manage wholesale email communications through Mailchimp.
Distribute seasonal marketing packs and launch assets to wholesale partners.
Finance & Commercial Support
Work closely with Finance to monitor proforma invoices and account payments.
Support payment tracking and update delivery schedules accordingly.
Assist with credit notes, RTVs and related account queries.
Maintain accurate records of financial administration activities.
Logistics & Shipping Coordination
Support delivery administration and booking-in requirements for wholesale partners.
Coordinate shipping labels, hallmarking and delivery documentation.
Maintain delivery schedules and purchase order information.
Liaise with customers, logistics providers and internal teams to ensure timely deliveries.
What You’ll Bring
Skills & Experience
Previous experience in a wholesale, sales support, operations or administration role.
Strong organisational skills with the ability to manage multiple priorities simultaneously.
Excellent attention to detail and high level of accuracy.
Strong analytical and reporting capabilities.
Proficiency in Microsoft Excel and Microsoft Office.
Experience using wholesale platforms such as NuORDER, Dynamics or similar ERP systems is advantageous.
Excellent communication and stakeholder management skills.
Ability to work cross-functionally with Sales, Finance, Merchandising, Production and Logistics teams.
